You will remember your wedding celebration for the rest of your life so choosing the right partners to help you is an important decision. The team at Kaspars Special Events & Catering, located on lower Queen Anne just five minutes from downtown Seattle, has over 20 years of experience and we want you to benefit from the knowledge we have gained in that time. We have the expertise and the know-how to host your rehearsal dinner, ceremony and reception.
Our passion is to provide outstanding service and delectable food for groups of all sizes, both within Kaspars as well as at off-site venues including your home and other special locations (click here for some suggestions). The staff is well versed in the broad range of requirements that today’s wedding celebrations present and we understand the special intricacies necessary to exceed your expectations and make yours memorable.
We will support you through the entire planning process, including venue selection, menu creation, ceremony and reception planning (linen selection, décor, entertainment), flowers and the wedding cake. To guarantee you are stress free throughout this experience, your event coordinator and staff will take care of all the details: setting up the room, ensuring the reception stays on schedule, taking care of your guests and cleaning up. Kaspars will help you have fun creating an extraordinary experience you and your guests will not soon forget.

An experienced event coordinator will help you plan your event from start to finish.

An event coordinator will be on-site for set-up and if the ceremony is on site, she will ensure everything goes as planned.
- When booking our venue for your wedding ceremony we will provide a complimentary 1-hour rehearsal walk-through at a mutually agreeable time. In addition, Kaspars will provide complimentary non-alcoholic beverages, cheese and crackers for the bridal party before the ceremony begins.

When booking our venue for your wedding ceremony and/or reception, the following are included in your menu price:
- Tables, chairs, white linens, glassware and cutlery
- Labor
- Private dressing area (when the entire venue is reserved)

- Confetti, rice, and birdseed are not allowed in or outside the venue and bubbles may be used outside only.
- We would be pleased to cut, serve and tray pass your cake for a charge of $1.50 per person.
- Valet parking is available at an additional cost.

Kaspars Wedding Checklist |
10-12 Months Out |
- Determine what type of wedding you would like - formal or informal, afternoon or evening, Sit-down meal or reception?
- Determine the budget, wedding date and time.
- Set-up an appointment to speak with an Event Coordinator at Kaspars.
- Contract your reception site.
- Determine a ceremony site.
- Determine pricing, sign the contract and send in the deposit to Kaspars!

6-9 Months Out
|
- Begin looking for a wedding cake. Kaspars can provide several excellent referrals to assist you in choosing just the right one!
- Choose your wedding cake designer or, for something different, select Kaspars' sumptuous dessert buffet.
- Start planning the rehearsal dinner—Kaspars has a number of different spaces perfect for this occasion!
- Contract with your photographer, florist, entertainment, videographer, etc.

3-5 Months Out |
- Work with your event coordinator at Kaspars to determine the tables, chairs, and/or other rental equipment you'll need if you have chosen an off-site location. Your Kaspars event coordinator will work with the rental company to ensure the order is correct!
- Contract Kaspars for your rehearsal-dinner site.

2 Months Out |
- Finalize your menu, bar selections and service details with Kaspars. Let your event coordinator know of any dietary needs or allergies of which you are aware.
- If you have chosen specialty linens, confirm your selections with your event coordinator so she can place the order.
- If you have chosen specialty wine or champagne, confirm your selections with your event coordinator so she can place the order.
- Work with your event coordinator to determine placement of your tables, receiving line (if you have one), guest book, gift table, dance floor, DJ/band, buffet tables, name card table, etc.

1-2 Weeks Out |
- Give estimated head count to Kaspars two weeks out and a final head count 72 hours prior to your wedding. Confirm room set-up instructions and menu items with your event coordinator.
- If you are having a plated dinner with a pre-selected choice, give the counts to your coordinator. Include the counts for any vegetarian meals. Make menu markers to be placed with your name cards.
- Do you want to feed your vendors? Let your event coordinator know and ensure your guarantee includes them and determine where they should eat – with your guests or out of sight!
- Confirm head count, delivery time, and location with the person/company providing your wedding cake.
- Give a copy of the seating chart with meal selections (if you have chosen plated dinner) to your event coordinator.
- Make place cards.
- Appoint a bridesmaid, parent or someone who has been involved in the planning to be the on-site contact and give his/her information to your vendors.

Day Before |
- Drop off favors, place cards, guest book and pen at the reception site.
- Have fun at your rehearsal dinner.
- Get some sleep!

- Freeze the top layer of the wedding cake to be eaten at your first anniversary celebration (save some cocktail napkins, too!).
